How to Export & Schedule an Employee HR Report in Inova / UKG


This guide walks you through how to create, customize, and schedule an employee report in Inova / UKG (UKG Ready) so it automatically sends updated employee information to Team Engine.

Once set up, this report will email a CSV file daily to Team Engine, keeping your employee records synced without manual uploads.


Step 1: Create a New Employee Report

  1. Log in to Inova / UKG using an account with report-builder permissions.
  2. Go to Reports → Create New Report (or “Customize Existing Report” if you already have one).
  3. Choose Employee Report as the report type.
  4. Click Continue to open the report builder.

📋 Step 2: Choose the Data Columns You Need

Use the Search Columns bar in the middle of the screen to quickly locate each field you’ll need.

🧠 Tips:

  • In UKG, Language Preference often appears as Locale or Language Format.
  • If your company doesn’t separate employees by group or department, you can create those groupings later inside Team Engine (e.g., by supervisor or job title).

🚫 Step 3: Filter for Active Employees Only

You only want active employees to appear in your report.

  1. In the report builder, locate Employee Status under filters.
  2. Set the filter to Active Employees Only.

This prevents terminated or inactive workers from being sent to Team Engine.


🧹 Step 4: Review and Clean Up Columns

  1. Click Quick Actions → Add/Remove Columns.
  2. Review the current columns and remove any unnecessary fields (such as emergency contact, address, or payroll data).
  3. Make sure only the required columns listed above remain.

💾 Step 5: Save the Report

  1. At the top right, click Save As.
  2. Name the report something clear like Team Engine Employee Report.
  3. Click Apply to save it under your saved reports list.

💡 Once saved, you can easily edit or re-run the report later under “Saved Reports.”


📁 Step 6: Define the File Format and Layout

  • Select CSV as the file type.
  • Arrange your columns in a clear, consistent order (e.g., Employee ID → Name → Phone → Job Info).
  • Confirm the headers and values align with Team Engine’s expectations.

📅 Step 7: Schedule the Report to Send Automatically

Once your report looks correct, you can schedule it to email automatically.

  1. From your saved report, click the three-line menu (⋮) in the top right corner.
  2. Choose Schedule Report.
  3. Under Schedule Settings:
    • Frequency: Daily, Monday through Friday
    • Time: 7:00 AM (recommended before office hours)
    • End Date: Set at least 365 days out
  4. Under Delivery Destination:
    • Choose Email
    • Enter the address: hr.reports@teamengine.io
  5. Click Save / Apply.

⚠️ In some versions of Inova / UKG, you must type out the days (e.g., “Monday, Tuesday, Wednesday, Thursday, Friday”) instead of selecting them. If the schedule won’t save or shows red, contact Inova Support — scheduling permissions may need to be enabled.



🧪 Step 8: Test and Confirm

  1. Run the report manually the first time.
  2. Verify that:
    • The file includes all required columns.
    • Only active employees appear.
    • Dates, phone numbers, and other fields are correctly formatted.
  3. Confirm that the report email was delivered successfully to hr.reports@teamengine.io.

💬 If most employees are Spanish-speaking, you can default their language to Spanish in Team Engine after import.


🧭 Step 9: Edit or Update Later

You can adjust your report at any time:

  • Add or remove fields.
  • Update filters (e.g., to include new hire info).
  • Change delivery frequency or recipients.

Find it under Reports → Saved Reports → Team Engine Employee Report and click Edit Report Settings.


💡 Additional Notes on UKG Reporting

  • Supported Formats: UKG supports CSV and Excel (CSV preferred for Team Engine).
  • Scheduling Options: Reports can be automated daily, weekly, or monthly.
  • Layout Controls: You can hide unused columns, reorder fields, and define your export layout.
  • Maintenance Tip: Check your report quarterly to confirm it’s still delivering correctly.
