Blocking Applicants
In some situations, you may need to stop communication with an applicant—for example, if they send repeated unwanted messages or engage in inappropriate behavior. Team Engine makes it easy to block applicants while keeping their application on record.
How to Block an Applicant
You can block an applicant in just a few clicks:
- Open the applicant’s profile or find them in the Needs Review list.
- Click the three-dot menu (⋯).
- Select Block.
Once blocked, all messaging with that applicant is immediately stopped.

What Happens When an Applicant Is Blocked?
Blocking an applicant has the following effects:
- Messaging is fully disabled (both incoming and outgoing).
- The application remains visible in your hiring pipeline for record-keeping.
- If the same contact applies to another job within your organization, messaging will remain blocked across all applications tied to that contact.
- 🛡️ Blocking helps protect your team from ongoing or inappropriate communication without deleting applicant data.
Viewing & Managing Blocked Applicants
You can review and manage blocked applicants at any time:
- Go to the Jobs page and click the # Blocked link.
- Open an applicant’s profile to see their blocked status.
- Unblock applicants individually from either the Blocked list or directly from their profile if communication needs to resume.

✅ Best Practices
- Use blocking for safety, professionalism, or compliance reasons—not as a substitute for application status updates.
- Blocking is organization-wide, so only unblock if future communication is appropriate.
❓ Frequently Asked Questions
Is there a way to block a former employee who was not an applicant?
At this time, Team Engine only allows you to block individuals by accessing their applicant profile. Unfortunately, blocking a former employee who was not originally added as an applicant is not currently supported. We apologize for any inconvenience this may cause.
What are my options if a former employee continues to message us?
While direct blocking isn’t available for non-applicants, you can use one of the following alternatives:
-
📵 Remove the phone number from the employee’s profile
This will prevent any future messages from being received or sent.
-
🗑️ Delete the employee profile entirely
This removes the individual from your system altogether.
Both options can help stop unwanted communication while maintaining control over your employee records.
What if a blocked applicant submits a new application with a different phone number or contact information?
If a previously blocked applicant reapplies using new or different contact information, they will appear as a new applicant profile in your system.
- 🔍 Currently, duplicate applicant profiles can only be identified by manually searching through applicant profiles.
- 🚫 If you identify that the applicant is the same individual, you can block the new applicant profile as well.
- Each applicant profile must be blocked individually if different contact information is used.
We recommend periodically reviewing applicant details if you suspect duplicate applications to ensure communication remains appropriately restricted.
