How to Export & Schedule an Employee HR Report in ADP Workforce Now

Use this guide to build a custom HR report in ADP Workforce Now that includes your required employee fields and automatically delivers updates to Team Engine.

Setting up a scheduled report ensures your employee data stays up to date without any manual uploads.


Step-by-Step Instructions

1️⃣ Log Into ADP & Navigate to Reports

  1. Log in to your ADP Workforce Now account.
  2. From the top navigation bar, go to:

    Reports → Custom Reports

This is where you can create new reports or edit existing ones.


2️⃣ Create a New Custom Report

  1. Click Create New Report
  2. When prompted to choose a report type, select:

    Employee Data / HR Data (name may vary by ADP version)

This ensures the report pulls from core employee profile details.


3️⃣ Add the Required Data Fields

Use the search bar within the report builder to quickly locate each field.

✔️ Required Fields (Must Be Included)

  • Employee Identifier (Employee ID)
  • First Name
  • Last Name
  • Cell Phone Number
  • Birthday (Date of Birth)
  • Supervisor / Manager Name
  • Start Date / Hire Date
  • Department / Group
  • Job Title
  • Location

Tip: In ADP, “Department” or “Group” may appear as:

  • Home Department
  • Org Level
  • Work Location

Field names can vary slightly depending on your ADP configuration.


4️⃣ Save & Test the Report

  1. Click Save
  2. Name the report: Team Engine Report
  3. Click Run Now to generate a test file
  4. Email the test report to: hr.reports@teamengine.io

This allows the Team Engine team to:

  • Confirm formatting
  • Validate group mapping
  • Ensure data accuracy
  • Identify any missing fields

5️⃣ Schedule the Report for Automatic Delivery

  1. Return to your Custom Reports list
  2. Find your report
  3. Click Schedule (or Report Scheduling, depending on your ADP version)

Configure the following:

📅 Frequency

  • Daily (recommended)
  • Monday–Friday OR Every Day (based on your preference)

Daily delivery ensures new hires, terminations, and updates sync quickly.

✉️ Delivery Method

  • Select Email

📧 Recipient Email

  • Enter: hr.reports@teamengine.io

📄 File Format

  • Select Excel/CSV

    (ADP typically sends scheduled reports as Excel files, and Team Engine accepts this format.)


6️⃣ Confirm & Activate

  • Click Save
  • Confirm the schedule shows as Active

You’re all set! 🎉

Your employee report will now automatically deliver to Team Engine based on your selected schedule.


💡 Additional ADP Tips

Phone Number Formatting

Ensure mobile numbers are stored cleanly. ADP may include parentheses or spaces, but consistent formatting helps prevent sync issues.

Supervisor / Manager Field

This field is often located under:

  • Work Assignment
  • Reports To

Groups & Departments

Departments or org levels can map to Team Engine messaging groups if needed.

Multiple Locations or Divisions

Including “Location” helps ensure employees are assigned to the correct group in Team Engine.
