To ensure the best results from job boards and create a strong experience for jobseekers, all jobs published through Team Engine should follow a set of recommended best practices.

Team Engine distributes your jobs across major job boards like Indeed, ZipRecruiter, Google Jobs, Jooble, and JobGet. Team Engine also includes built-in AI to optimize your job titles and descriptions so they meet job board guidelines and perform better.

As job boards continue to evolve, especially with recent changes to organic reach, following these guidelines is more important than ever.

Company requirements

  • Your Company Name should reflect your full, recognizable business name as it will appear on job boards. Avoid abbreviations, d/b/a names, or unnecessary additions like “Inc.” unless it is how you typically refer to your company. Keep your company name consistent across your website and job postings. To update your company name, please reach out to Team Engine Support.
  • You must have a working and established company website that matches the company name on your account, lists your organization’s physical address, and includes public contact details. This helps job boards verify your business and can impact job visibility.

Job quality


Title

  • Use common job titles, such as “Customer Support Representative” instead of “Support Ninja”. Realistic, descriptive job titles are more effective, as they’re easily searchable by candidates.
  • Avoid extremely long titles (no longer than 80 characters), all capital letters, extra punctuation, and other special characters.
  • Don’t include extra information like the job location, salary, or other recruiting language (e.g., “hiring now!” or “high commission”) in the title.
  • Avoid creating multiple versions of the same position with slightly different job titles. This can create duplicate listings and negatively impact job visibility. Instead, it’s best to handle small variations in responsibilities or qualifications within your screening questions using Team Engine’s AI auto-screening tools.  You want to avoid competing with yourself.

Location

  • The physical address where the employee reports to work or receives assignments should be used. Include a complete City, State, and Country for your job’s office location. You can add this within the Job Details section. If you are hiring in multiple areas, you can add one additional location within the same job under "add location"  For  workers, who travel to various job sites, employers must generally list the permanent reporting location—such as the office, shop, or yard where they meet managers, pick up equipment, or return company vehicles

Salary transparency and visibility

  • Including salary information in your job post is a best practice that can significantly improve visibility and performance across job boards.
    • Builds trust with candidates and shows you value fair compensation
    • Increases candidate engagement and improves job performance
    • Helps filter out unqualified applicants, saving you time
    • Strengthens your employer brand through transparency and consistency
  • Providing clear pay information helps attract more qualified candidates and creates a better overall hiring experience.

Descriptions

  • Writing clear job descriptions that are at least 700 characters long helps ensure strong visibility across job boards. A well-written job description attracts the right candidates and improves overall job performance.

    A typical job description should include:

    • Company overview and details
    • Key duties and responsibilities
    • Required qualifications
    • Pay range
    • Benefits
    • Shift information
    • Job location (or indicate if the role is remote)
    • Job type (full-time or part-time)

Including clear, detailed information helps job boards better understand the role and improves how your job is ranked and displayed to candidates. Team Engine also provides AI tools to help you create and optimize job descriptions, ensuring they meet guidelines and perform effectively.

  • The job description should not be incomplete or vague. Clear, detailed descriptions improve visibility and help attract the right candidates.
  • Limit the use of links and images since they aren’t supported by most job boards.
  • Avoid language that suggests the role is a future or pipeline position.
  • Don’t provide other ways for the candidate to apply, like an email address, phone number, or website link. Workable will always include an Apply button automatically.
  • Avoid language that could be viewed as discriminatory. This includes any age limits or similar language like “college students welcome”, specific pronouns (e.g. avoid using “he” or “she”), and nationality (when referring to language abilities use “native-level” instead of “native.”).

Job Refreshing

Each job posted in Team Engine is shared to Indeed using the free job posting feature.

Note: Once job posts are pushed into Indeed, they can be marked as sponsored within the Indeed platform. You have to contact your Indeed client success representative for more information.

However, Indeed limits the ability to refresh or “bump” job posts to move them back to the top of search results. Attempting to repost or make minor edits solely to increase visibility may be flagged, and repeated behavior can impact your job performance or account standing.

To maintain strong visibility, it’s important to follow best practices and avoid artificial refresh tactics.


To boost your job’s visibility:

  • Keep your job details up to date with meaningful changes (not minor edits)
  • Ensure your job includes clear titles, pay range, and detailed descriptions
  • Respond quickly to applicants using automated messaging and consistently update applicant statuses (interested, hired, or rejected) to maintain strong job performance.
  • Close jobs when the role is filled to maintain account health
  • Consider sponsoring jobs when you need additional reach

Because applicants apply through Team Engine’s digital application process, it’s important to keep all applications within a consistent, streamlined workflow to ensure the best candidate experience and performance.  Avoid asking candidates to complete a second application after they have already applied,  redirecting candidates in a way that breaks the natural flow of the application process. Keeping everything centralized in Team Engine ensures a better candidate experience, higher completion rates, and improved job performance across job boards.

"I recently added a job through my ats Team Engine (via Job Sync API) and it's been past the advised amount of time it takes for new jobs to be added to Indeed.
