Team Engine User Permission Levels
Team Engine provides flexible permission levels to help you control access while keeping your team productive and organized. Each role is designed to support different responsibilities across hiring, communication, and employee management.

Account Admin
Account Admins have full access to all features and settings in Team Engine. These users are typically designated during account setup and act as system owners.
Only Account Admins can:
- Add, edit, or disable users
- Update billing and payment methods
- Manage social media ad spend and budgets
- Configure key account settings
They also receive important notifications, including:
- Social media ad performance summaries
- Employee referral activity

Hiring Access
Users with Hiring Access are responsible for managing the recruiting process from start to finish.
They can:
- Create, post, and manage job listings
- View and review incoming applicants
- Move candidates through hiring stages
- Message applicants via text or email
- Schedule interviews and track progress
Please note: Currently, any user with Hiring Access can view and access all jobs and applicants in the account. At this time, it is not possible to limit visibility so Hiring Managers only see jobs assigned to them. This permission level is best suited for recruiters, hiring managers, and HR staff involved in day-to-day hiring activities.
Employee Access
Employee Access determines what users can do within the Employee Directory, messaging tools, and internal communications.
Full Access
Users with Full Access have complete control over employee management and communication.
They can:
- Add, update, or terminate employee profiles
- Send 1:1 or group messages
- Send announcements and surveys
- Manage automated messages and workflows
- Create and manage employee groups
This level is ideal for HR teams or operations leaders managing workforce communication.
Direct Reports Only
This access level limits users to only the employees they supervise.
They can:
- View and message their direct reports
- Send announcements to their team
Restrictions include:
- Cannot create or manage employee groups
- Cannot send surveys (but can view results for their team)
- Cannot message employees outside their reporting structure
This is a great option for supervisors or managers who only need visibility into their own team.
Common Questions:
Can I limit access to specific jobs, locations, or groups?
No—permissions cannot currently be restricted by job, location, or group.
Can Hiring Managers only see their assigned jobs?
No—users with Hiring Access can view all jobs and applicants, even if they are only responsible for specific roles.
Who should be an Account Admin?
We recommend limiting this role to a small number of trusted users (such as owners or senior leaders) since it includes full system and billing access.
Can I change a user’s permission level later?
Yes—Account Admins can update user permissions at any time from the Account > Users page.
What happens if I disable a user?
Disabling a user removes their access to Team Engine, but their past activity (messages, actions, etc.) remains in the system for record-keeping.
