Team Engine WhatsApp Messaging: Setup & Overview
Why did we build this feature?
While many Team Engine customers use email and text to reach their workforce, some employees may never check these channels, missing out on important updates. Without an email address or reliable phone for texts, vital information can be overlooked, leading to misunderstandings and feelings of being undervalued.
Businesses using the H-2B visa program often rely on WhatsApp to communicate with workers before they arrive in the U.S. Previously, this had to be done outside Team Engine using personal phones. Some of our customers, especially those with Latino employees, even carried separate phones for work and personal WhatsApp messages.
Our WhatsApp messaging tool solves these challenges, offering more ways to engage your workforce. You can now expect the same features you already depend on—scheduled and recurring messages, group announcements, automations, and more—through WhatsApp.
📌 What This Integration Can Do
- Meta Login
- You will need a Meta account to connect WhatsApp to Team Engine. Ideally, your meta account will have access to your company's Meta Business Portfolio, though if you do not have this account we can create one for you.
- WhatsApp Number Storage
- Employee profiles in the directory now have a field to store WhatsApp numbers, and all international numbers are supported.
- Employee 1:1 Messaging
- The feature initiates conversations using a templated message. Recipients must reply to this template to receive the message generated by the user.
- Employee Announcements
- The feature initiates conversations using a templated message. Recipients must reply to this template to receive the message generated by the user.
- Employee Automations
- This feature registers all customer automations as templates with Meta. Then, when an automation comes due, the message is sent out to recipients. WhatsApp recipients will receive automation content instantly since the automation has been registered as a template.
⚠️ Limitations & Requirements
- WhatsApp will work for only ONE org in a multi-org account.
- Legacy customers (those without a twilio subaccount) must agree to change their phone numbers in order to be set up to use WhatsApp.
- Once your account is set up, logging into WhatsApp locks you into your current phone numbers.
- We only offer employee messaging through WhatsApp.
How to Set Up WhatsApp Messaging in Team Engine
Follow the steps below to connect WhatsApp to your Team Engine account. The setup only takes a few minutes, but it’s important to complete every step through the final “Finish” screen for the integration to work properly.

Log into Team Engine

Navigate to Settings

Select Messaging
-
Locate Enable WhatsApp Messaging
- Click “Login with Facebook”
Step 2: Confirm Your Texting Phone Number & Log In
- Log into your Facebook Business Manager account
- Business Admin
- System Admin
Step 3: Fill In Your Business Information (4th Screen)
- Select your business portfolio
- The remaining fields should auto-populate
- Review the information, then continue
- Business name
- Business email
- Business website
Once completed, continue to the next screen.
Step 4: Create or Select Your WhatsApp Business Account (5th Screen)
On the “Create or select your WhatsApp Business Account” screen:
• Select “Create a WhatsApp Business Account”
• Use the suggested options if they appear, or manually enter:
Business name
Time zone (make sure this matches your location)
Step 5: Complete the Signup Flow
From here, continue clicking through the remaining screens.
⚠️Important:
You must complete all steps and click the “Finish” button on the final screen. If the flow is not fully completed, WhatsApp will not connect successfully.
