Custom Fields in Team Engine

Custom Fields allow you to store and display additional information on employee or applicant profiles beyond the standard fields in Team Engine. This is helpful when you need to track company-specific data such as certifications, uniform sizes, equipment assignments, or internal notes.

Custom Fields give you flexibility while keeping all important information centralized and easy to access.

How to Create a Custom Field

You can set up Custom Fields in your Company Settings:

  1. Go to Company Settings.
  2. Select General Preferences.
  3. Click on Custom Fields.
  4. Click Add Custom Field.
  5. Enter the Field Name (for example: “Certification Expiration” or “Driver's License”).

    Choose the Field Type:

    • Date (for deadlines or expiration dates)
    • Number (for IDs, pay rates, quantities)
    • Text (for notes or general information)

Choose whether the field applies to:

    • Employees
    • Applicants
  6. Save your changes.

Once saved, the field will automatically appear on the selected profile type.

Adding Information to a Profile

After creating the custom field:

  1. Open the Applicant or Employee profile.
  2. Locate the new custom field.
  3. Enter the appropriate information.
  4. Save the profile.

The information will now be visible on that individual’s profile for your team to reference.

Why Use Custom Fields?

Custom Fields are helpful when you need to:

  • Track certifications or license expirations
  • Store internal tracking numbers
  • Record onboarding milestones
  • Document role-specific details
  • Capture data unique to your organization

They ensure important details are clearly listed and easy to find, without needing to store information outside of Team Engine.

Best Practices

  • Keep field names clear and specific.
  • Use Date fields when you plan to create automations or reminders.
  • Avoid creating duplicate or overlapping fields.
  • Review fields periodically to keep your system organized.

Custom Fields make Team Engine more adaptable to your unique workflows. If you’re unsure how to structure your fields, our team is happy to help guide you.
