Team Engine + Checkr Integration User Guide

Run and manage background checks directly within Team Engine using our Checkr integration. This guide walks you through setup, ordering reports, and reviewing results so your onboarding process stays smooth and compliant.


✅ Getting Started

To enable the integration, you’ll need:

  • Admin access to Checkr
  • Admin access to Team Engine

Access Team Engine


🔗 Connect to Checkr

  1. Log in to Team Engine.
  2. Select the Onboarding tab from the left navigation.
  3. Click Onboarding Configuration (top left).
  4. Select the Background Checks tab.
  5. On the Checkr integration card, click Connect.

    In the dialog window:

    • Log in to an existing Checkr account or
    • Create a new Checkr account (see below).
  6. Select Submit.

Once credentialing is complete, Checkr will notify you. You can then begin ordering background checks in Team Engine.


🆕 Create a Checkr Account (If Needed)

If your company does not already have a Checkr account, you’ll create one during the connection process.

  • Existing Checkr customer? Select Sign In to connect your current account.

    New to Checkr?

    • Complete the required company information.
    • Select Get started.
    • Enter payment details.

📌 Important: Background check invoices come directly from Checkr, not Team Engine. Payment details can be updated later in the Checkr Dashboard.

After submission, Checkr will review and credential your account. Once approved, both you and Team Engine will be notified.


🏢 Understanding Account Hierarchy (Nodes)

Checkr allows you to set up nodes within your account. Nodes help organize background check ordering by:

  • Location
  • Team
  • Department
  • Business unit

Each node must have packages assigned within Checkr before they can be used.

When ordering a background check in Team Engine:

  1. Select the appropriate node (if applicable).
  2. Choose from the packages assigned to that node.

If no packages appear, you’ll need to assign them in your Checkr Dashboard first.

Your Checkr invoice will show which node ordered which package (typically reflected within two billing cycles).

🚀 Order a Background Check

Once connected and credentialed:

  1. Go to the Onboarding tab in Team Engine.
  2. Locate the applicant.

    Under the Documents column, select Start background check.

    • You can also open the applicant’s profile and start the check from the Automated Checklist section.
  3. Enter required details.
  4. Select Send invitation.

The candidate will receive an email from Checkr to complete their portion of the process.

You can monitor status on:

  • The Onboarding dashboard
  • The Applicant details page

📊 Review Background Check Statuses

Team Engine displays status chips in four colors:

  • Grey – Pending
  • Green – Approved
  • Red – Consider
  • Yellow – Not initiated

To view more details:

  • Click the status chip to open a dialog window.
  • Select View to open the full report in your Checkr Dashboard.

👤 Checkr Candidate Experience

Checkr provides a transparent and user-friendly candidate experience. Candidates will:

  • Receive an email invitation
  • Provide consent
  • Submit required personal information securely

🛠 Use the Checkr Dashboard

While Team Engine allows you to order checks and monitor status, the following actions are managed directly in Checkr:

  • Adjudicate candidate reports
  • Begin the adverse action process
  • View candidate stories
  • Manage account users
  • Configure billing and payment settings
  • Update account settings

💡 Best Practices

  • Confirm packages are assigned to the correct node before ordering.
  • Double-check candidate email addresses prior to sending invitations.
  • Clearly communicate timing expectations to applicants.
  • Handle hiring decisions according to your company’s compliance policies.
