Recurring Automations

Sometimes you need to send the same message on a regular schedule—whether it’s a bi-weekly timesheet reminder, a monthly safety check-in, or a quarterly benefits update. Instead of manually sending messages each time, Recurring Automations in Team Engine handle it for you automatically.

This keeps your communication consistent, saves time, and ensures nothing slips through the cracks. ⏰✨


Getting Started

  1. From the left sidebar, click Automations
  2. Select Recurring Automations
  3. Click the orange Add Automation button in the top-right corner

💡 Note: If you're looking to set up milestone automations based on employee tenure (like 30/60/90 days), those can also be configured in the Automations section.



⚙️ Types of Actions

Team Engine offers two types of recurring automated actions:

💬 Message

Sends a direct message to employees via:

  • Text (SMS)
  • Email
  • WhatsApp (if enabled)

Best for:

  • Timesheet reminders
  • Safety meeting notifications
  • Monthly updates
  • Recognition or motivational messages

Example:

“Friendly reminder to submit your timesheet by 5 PM today!”


🔔 Receive Notification

Sends a notification (text or email) to specific team members when action is needed.

Best for:

  • Alerting supervisors about performance reviews
  • Notifying HR about open enrollment
  • Reminding payroll of upcoming deadlines

This replaces manual calendar reminders and ensures the right people are notified at the right time.



🛠️ Setting Up a Recurring Automation

Follow these steps:

  1. Go to Recurring Automations
  2. Click Add Automation
  3. Choose your recurrence schedule (daily, weekly, monthly, etc.)
  4. Select your automation type (Message or Notification)

    Choose recipients:

    • All Employees
    • Or specific Groups
  5. Set the send time
  6. Choose the delivery method (text, email, WhatsApp)
  7. Enter your message
  8. Click Save

That’s it! 🎉 Your automation will now run automatically based on your selected schedule.


👥 Group-Specific Automations

You can send recurring messages to specific groups by toggling off All Employees and selecting the appropriate groups.

This is especially helpful when:

  • Benefits eligibility differs (full-time vs. part-time vs. contract)
  • Locations require different messaging (office vs. field teams)
  • Supervisors need separate reminders from frontline employees

Using groups keeps communication targeted and relevant.


📋 Copying an Existing Automation

Need to create a similar automation for another group?

  1. Click the three dots next to an existing automation
  2. Select Copy
  3. Make any necessary edits
  4. Click Save

All fields will be pre-filled, making it quick and easy to duplicate recurring workflows.


❓ Frequently Asked Questions

Do I need to manually turn off a recurring automation?

You have two options:

Set an end date when creating the automation

Manually disable it at any time from the Recurring Automations page

If an automation no longer applies, simply toggle it off.


What happens if an employee joins after the automation is created?

As long as they are part of the selected recipient group (or included in “All Employees”), they will automatically receive future scheduled messages.


Can I edit a recurring automation after it’s saved?

Yes! You can update the schedule, message content, recipients, or delivery method at any time. Changes will apply to future sends.


When we send out email automations for reminders, is there a way to mark it as “Do Not Reply” or automated delivery?

At this time, no — email automations cannot be marked as “Do Not Reply” or sent from a no-reply address.

Recipients will receive the message as a standard Team Engine email and can respond directly if needed.


Do hyperlinks work in recurring automations?

Currently, hyperlinked text is not supported in automation messages.

However, you can include the full URL directly in the message (for example: https://yourlink.com), and recipients will still receive it. They can copy and paste the link into their browser if needed.
