Our built-in tools help you automatically screen, rank, and communicate with applicants—so you can focus on the best candidates faster.


Automated Application Screening ✅

Team Engine screens applicants based on the criteria that matter most to you. You can filter by:

  • Required licenses
  • Relevant work experience
  • Responsiveness
  • Commute distance
  • Job stability (Job Hopper filter)
  • And other customizable applicant filters

You can add requirements:

  • During job creation, or
  • By editing an existing job under the Edit Job Details → Experience, Licenses, & Applicant Filters tab.

To update an existing job:

  1. Click the three dots next to the job.
  2. Select Edit.
  3. Navigate to Experience, Licenses, & Applicant Filters.

Experience & Licenses 🎓

These sections are ideal for roles requiring certifications or hands-on experience.

Example:

If you need a CDL B driver, add that license requirement to ensure unqualified applicants are filtered out automatically.

💡 Best Practice: Be specific with experience requirements. Instead of “delivery experience,” clarify the type (e.g., commercial route delivery, logistics coordination, etc.) to get more accurate results.


Applicant Filters Explained

Filters help prioritize strong candidates while screening out potential concerns.

🟢 Positive Filters

Highlight qualities you'd like to see.

🔴 Negative Filters

Flag potential red flags.

Here are a few key filters:

  • Responsive - Saves you from chasing applicants who don’t reply. If enabled, applicants who do not respond to the interest confirmation text (sent one hour after applying) will be labeled “Not Responsive” and moved to Auto-Screened.
  • Hard Commute - Uses the applicant’s address to estimate commute distance. Long commutes can impact attendance and retention, so you can filter out applicants who live too far away.
  • Job Hopper

Applicants are labeled as job hoppers if:

  1. Their most recent job lasted less than one year OR
  2. Their average tenure over the past 3 years is less than one year OR
  3. There is no education history explaining short-term roles

How Screening Works ⚙️

Once your requirements are set:

  • Team Engine automatically evaluates new applicants.
  • Unqualified applicants are screened out.
  • Qualified applicants are ranked in the Needs Review section.
  • The system may send follow-up questions to clarify qualifications.

Before you even open a profile, you’ll often know:

  • If they’re responsive
  • If they meet license/experience requirements
  • Why they’re interested in the role

Personalized Applicant Messages 💬

Team Engine can automatically send customized follow-up questions based on:

  • Missing information
  • Compensation expectations outside your set range
  • Clarification of qualifications

To enable this:

  1. Go to the Automations tab.
  2. Under Application Process, locate Application Is Completed.
  3. Select “Personalized by Team Engine.”
  4. Ensure the toggle is turned on (green).

Once enabled, applicants will receive dynamic, job-specific follow-ups.

When Interest Confirmations Are Skipped

The system will not send an interest confirmation if:

  • The applicant already has a Responsive label
  • The applicant is moved out of Applied status before it sends
  • The application is already complete (resume or work history included)
  • The candidate is marked as highly qualified

Automated Hiring Process Messages 📅

Beyond screening, Team Engine automates communication as candidates move through your pipeline.

You can automate:

  • Outreach when marking someone as Interested
  • Interview scheduling messages
  • Interview reminders (2-hour and 24-hour reminders)
  • Follow-ups at 24 and 48 hours if no response
  • Re-engagement with promising applicants

Example Workflow:

  1. You mark a candidate as Interested.
  2. Team Engine automatically asks for interview availability.
  3. You schedule the interview.
  4. Automated reminders reduce no-shows.
  5. The interview appears on the Team Engine calendar and can sync with your external calendar.

Time Zone Settings ⏰

Automated messages are typically sent between 8:00 AM – 6:00 PM based on the job’s time zone

(Default: Central Time if none is set.)

Exceptions:

  • Interview reminders send exactly 2 hours and 24 hours before the interview.
  • Application confirmations send immediately.

To adjust time zones:

  1. Go to Automations.
  2. Click the three dotsEdit Automation.
  3. Select Show Additional Settings.
  4. Update the time zone.

Automations can be sent as:

  • Text with email fallback
  • Email only

Editing Automated Messages ✏️

You can customize messages to match your company’s tone and culture.

  • Edit messages from the Automations tab.
  • Customize for all jobs or specific jobs only.
  • Use the toggle to turn automations on/off per job.
  • Click the job visibility button to see which roles use a custom message.

💡 Best Practice: Keep messages short, friendly, and personal.

Introducing yourself by name helps applicants feel like they’re communicating with a real person—not a robot.
