Employee Profile Overview
Each employee in Team Engine has a dedicated profile that serves as a central hub for their information. Within an employee profile, you can store everything from contact details and important documents—like a driver's license—to personal notes about the employee. Whether you need quick access to key details or a complete record of their history, everything you need is in one place: their employee profile.
Details Tab
Available Information Fields in an Employee Profile:
- First name
- Last name
- Nickname
- Cell phone
- WhatsApp phone number
- Birthdate
- Language preference (English, Spanish, or other)
- Job title
- Employee identifier
- Start date
- Supervisor(s)
- Group(s)
Note: Phone Number Type Checking
What is it?
- We now check the line type of phone numbers for any contacts you message in Team Engine.
Why is this important?
- This prevents failed messages by letting you know upfront whether a number can receive texts.
- If a number cannot receive texts, Team Engine will automatically fall back to email (if available) instead of failing the message.
How does it work?
- ✅ Mobile numbers – Can receive texts as usual.
- ❌ Landlines – Cannot receive texts; you’ll see an indicator before sending.
- 🤓 Non-fixed VoIP numbers (Twilio, Google Voice, etc.) – Can also receive texts.
This feature improves message deliverability and ensures your communication reaches the right people effectively!


Notes Tab
The Notes section in an employee profile is a convenient place to document important information, whether you're preparing for a performance review, sharing insights with other supervisors, or saving key details for future reference.
Within the Notes tab, you can also use Employee Notes Templates to streamline your note-taking process. If you follow a specific format, templates can help save time and ensure consistency. Common examples include:
- One-on-one check-in questions
- Time-off tracking
- Compensation adjustments

Documents Tab
The Documents tab stores all relevant files related to an employee, such as licenses, certifications, and signed documents. Any documents an employee sends through their message thread will automatically be saved here, so you don’t have to search through past conversations to find them. You can also manually upload additional documents as needed, keeping everything organized in one place.

Calls Tab
The Calls tab allows you to make outbound phone calls to employees while keeping your personal number private. While calls are not recorded, they are timestamped, so you can easily track when past calls took place.
How to Make a Call:
- Click the "Call [Employee's Name]" button.
- Enter the phone number you want to call from (e.g., your cell phone or office phone).
- Team Engine will first call you, then merge you into the call with the employee.
Your employee will see an incoming call from the Team Engine phone number you use for texting, ensuring a seamless and professional communication experience.

History Tab
The History tab provides a record of all changes made to an employee’s profile, including updates to contact information, supervisor assignments, and other details from the Details tab.
This ensures you always have visibility into updates within your Directory and access to past information when needed. For example, if you ever need to reference an employee’s previous job title or supervisor for reporting purposes, you can quickly find it in the History tab.
Linking Employee Profiles to User Profiles
Linking employee profiles is a great way to ensure cohesion among different areas of the software.
Reason's you might want to link an employee profile to a user's profile:
- Gives the ability to send supervisor automations as a text
- Allows employees who are marked as “supervisor” to have applicable permissions in the software ie." just my direct reports''
- Automatically revokes access to the software when that employee is marked “quit/fired”
